Gardiner in Solon, OH is seeking a Service Coordinator / Dispatcher to join our busy service operations. You will support technicians, keep customers informed, and help keep the Service team running smoothly in an in-office, fast-paced environment.

The role handles a high volume of calls, coordinates 10–15 technicians, processes service requests, and helps with billing notes and work orders. Strong organization and communication are essential.

Qualifications

• 2+ years of dispatching, scheduling, or service coordination experience.
• Experience in HVAC, facilities, or field service is preferred.
• Strong organizational and communication skills.

This is not a quiet desk job:

As a Service Coordinator / Dispatcher at Gardiner, you'll be at the centre of a busy, fast-moving service operation where priorities shift quickly, technicians rely on your support, and customers count on you to keep things moving.

We’re looking for someone who enjoys an in-office, fast-paced environment, can manage multiple priorities, and stays calm when things get hectic. You'll play an important role in keeping our technicians organized, our customers informed, and our Service team running smoothly.

A Day in the Life May Look Like:

Handle a high volume of incoming calls and emails with professionalism and urgency.

Dispatch and coordinate schedules for 10–15 service technicians, including service calls, equipment start-ups, and preventative maintenance.

Respond to customer service requests, assist with sales inquiries, and issue purchase orders for parts and supplies.

Review technician labor time and service notes to help ensure accurate and timely billing.

Track work orders from start to finish, including updates, follow-ups, and daily service ticket reviews.

Communicate with customers, technicians, vendors, and internal teams to keep everyone informed and service running smoothly.

Adjust schedules and priorities as urgent requests and unexpected situations arise.

What You'll Bring:

High school diploma or equivalent.

2+ years of experience in dispatching, scheduling, or service coordination, preferably in HVAC, facilities, or another field service environment.

Strong organizational, communication, and problem-solving skills.

Experience managing multiple schedules, competing priorities, and a high volume of calls and requests.

Ability to stay calm under pressure, adapt quickly, and work collaboratively with others.

Familiarity with commercial HVAC terminology and service operations is a plus.

Additional experience coordinating field service teams and managing complex service operations is highly valued.

Compensation is based on relevant experience, skills, and industry knowledge, with the higher end of the posted salary range reflecting more extensive experience and qualifications.
