Hunter Mechanical, part of Thermal Concepts, is seeking a highly organized Dispatcher to support the HVAC Service Department in Newport News, VA. You will coordinate service requests, schedule technicians, and ensure clear communication between customers, field personnel, and internal teams.

Qualifications

• High school diploma or equivalent required; dispatch experience preferred.
• Experience in HVAC, construction, or service industries is a plus.
• Proficiency with Outlook, Word, Excel and dispatch software.
• Strong organizational, time-management and communication skills.

Responsibilities

• Receive and prioritize incoming service requests via phone, email, and other channels.
• Schedule and dispatch HVAC service technicians based on availability, skillset, location, and job priority.
• Communicate job details and special instructions to technicians.
• Monitor schedules and adjust for urgent requests and priorities.
• Maintain records of service calls, technician status, and customer communications.
• Coordinate with service managers, sales teams, and parts departments to ensure efficient job completion.
• Provide outstanding customer service by addressing questions and concerns.
• Assist with follow-up communications and schedule updates.

Position Requirements

What You'll Do

• Receive and prioritize incoming service requests from customers via phone, email, and other communication channels.
• Schedule and dispatch HVAC service technicians based on availability, skillset, location, and job priority.
• Communicate job details, customer information, and special instructions to technicians in the field.
• Monitor technician schedules throughout the day and make adjustments as needed to accommodate urgent requests and changing priorities.
• Maintain accurate records of service calls, technician status, customer communications, and job progress.
• Coordinate with service managers, sales teams, and parts departments to ensure efficient job completion and customer satisfaction.
• Provide outstanding customer service by addressing questions, resolving concerns, and keeping customers informed throughout the service process.
• Assist with follow-up communications, appointment confirmations, and schedule updates.
• Support the department by identifying process improvements that increase efficiency and service quality.
• Ensure dispatching activities are completed accurately and in accordance with company procedures and service standards.

What We're Looking For

• High school diploma or equivalent required.
• Previous experience in dispatching, scheduling, customer service, administrative support, or a related role preferred.
• Experience in HVAC, construction, mechanical contracting, or service industries is a strong plus.
• Familiarity with HVAC systems, terminology, and service operations preferred.
• Proficiency with Microsoft Office (Outlook, Word, Excel) and scheduling or dispatch software.
• Strong organizational and time-management skills with the ability to manage multiple priorities simultaneously.
• Excellent verbal and written communication skills.
• Strong problem-solving abilities and attention to detail.
• Ability to remain calm, professional, and customer-focused in a fast-paced environment.
• Ability to work collaboratively with technicians, customers, management, and other departments.
• Dependable, proactive, and able to work independently when needed.
