Description

Position Summary

Extreme Steel, Inc. is seeking an experienced and highly organized Dispatcher to support the coordination of transportation and delivery activities across our fabrication facilities, project sites, drivers, and field operations. The Dispatcher will plan and coordinate daily dispatch schedules, assign drivers and equipment, monitor deliveries, communicate changes, coordinate select loads with outside carriers, and help ensure fabricated steel, materials, and equipment reach project sites safely and on schedule.

This position serves as a central point of communication between drivers, production teams, project management, field personnel, outside carriers, and other internal departments. The ideal candidate is comfortable working in a fast-paced environment where schedules and priorities can change throughout the day and can make sound decisions while keeping multiple deliveries and projects organized.

This is not an entry-level dispatch position. The successful candidate should have prior experience in dispatching, transportation, logistics, fleet operations, construction logistics, or a comparable environment.

Dispatch & Scheduling

• Coordinate and manage daily dispatch schedules for company drivers, trucks, trailers, and deliveries.
• Assign drivers, vehicles, and equipment based on delivery requirements, project priorities, location, availability, and schedule.
• Coordinate transportation of fabricated structural and miscellaneous steel, construction materials, equipment, and other project-related loads.
• Review upcoming delivery requirements and proactively plan driver and equipment availability.
• Adjust dispatch schedules throughout the day in response to production delays, jobsite conditions, traffic, equipment issues, weather, or changing project priorities.
• Monitor active deliveries and maintain visibility of driver and load status from departure through completion.
• Identify scheduling conflicts and communicate potential delays before they impact project operations.

Driver & Field Communication

• Serve as a primary point of contact for drivers during daily operations.
• Provide drivers with accurate delivery locations, jobsite contacts, delivery windows, load information, and special instructions.
• Communicate schedule changes, delays, jobsite restrictions, and other relevant information quickly and clearly.
• Coordinate with field teams and project personnel regarding delivery timing, site readiness, unloading requirements, and changes to scheduled deliveries.
• Respond to driver questions and operational issues while helping determine appropriate next steps.
• Maintain professional communication with drivers, field personnel, customers, vendors, outside carriers, and internal departments.

Production & Project Coordination

• Work closely with fabrication and production teams to confirm material and loads are ready before dispatch.
• Coordinate with Project Managers and field teams to understand project priorities and required delivery sequences.
• Help ensure deliveries align with erection schedules and jobsite requirements.
• Communicate production or transportation issues that could affect scheduled project deliveries.
• Assist in prioritizing urgent or time-sensitive loads while minimizing disruption to other scheduled work.
• Maintain awareness of multiple active projects and their transportation requirements.

Transportation Documentation

• Prepare, review, distribute, and maintain dispatch and transportation documentation.
• Verify delivery information, load details, driver assignments, and destination information before dispatch.
• Track bills of lading, delivery tickets, packing lists, load documentation, and proof of delivery as applicable.
• Maintain accurate dispatch records, driver activity information, delivery status, and schedule changes.
• Ensure completed transportation paperwork is returned and properly documented.
• Assist with researching missing paperwork, delivery discrepancies, or transportation-related issues.
• Maintain awareness of truck and trailer availability and communicate equipment needs or conflicts.
• Coordinate with Fleet Management regarding vehicle maintenance, breakdowns, inspections, and equipment availability.
• Avoid assigning vehicles or equipment that are unavailable or scheduled for service.
• Coordinate loads with outside carriers when internal fleet capacity is unavailable or when operational needs require third-party transportation.
• Communicate pickup and delivery requirements with outside carriers, confirm scheduling and availability, and monitor loads through completion.
• Provide outside carriers with accurate load information, delivery locations, jobsite contacts, delivery windows, and any special transportation instructions.
• Assist with tracking transportation utilization and identifying opportunities to improve routing or equipment use.

Problem Resolution

• Respond quickly to driver delays, breakdowns, rejected deliveries, incorrect delivery information, jobsite access problems, and other transportation issues.
• Reorganize schedules when unexpected changes occur while minimizing impacts to customers and project teams.
• Escalate significant delivery, safety, customer, or scheduling concerns to management when appropriate.
• Document recurring transportation problems and assist management with identifying process improvements.

Qualifications

• High school diploma or equivalent required; associate degree in Logistics, Transportation, Supply Chain, Business, or a related field preferred.
• Minimum 2 years of dispatching, transportation, logistics, fleet, or related operational experience required; 3–5 years preferred.
• Experience dispatching trucks, drivers, deliveries, construction materials, heavy equipment, or similar operations strongly preferred.
• Experience coordinating loads with third-party or outside carriers preferred.
• Experience in structural steel, steel fabrication, construction, manufacturing, trucking, or industrial operations is highly preferred.
• Experience coordinating multiple drivers, loads, routes, or jobsites simultaneously.
• Strong understanding of transportation scheduling and delivery coordination.
• Ability to react quickly and make sound decisions when schedules or priorities change.
• Strong written and verbal communication skills, organization, and attention to detail.
• Comfortable communicating with drivers, outside carriers, field personnel, Project Managers, production teams, and management.
• Proficiency with Microsoft Outlook, Excel, and general computer systems.
• Experience with dispatch, fleet management, transportation management (TMS), GPS/tracking, ERP, or logistics software preferred.
• Familiarity with DOT transportation requirements, driver hours, load securement, or commercial vehicle operations is a plus.

Preferred Industry Experience

Candidates with experience in structural steel fabrication or erection, commercial construction, steel or metal manufacturing, trucking or transportation, heavy-haul or construction-material delivery, building-material distribution, fleet operations, or industrial manufacturing/logistics are especially encouraged to apply.

This position operates in a fast-paced industrial and construction-support environment. The Dispatcher must be comfortable managing multiple priorities simultaneously and responding to schedule changes throughout the workday. Regular communication with drivers, outside carriers, fabrication facilities, project teams, and field personnel is required. Schedule flexibility may occasionally be necessary to support early deliveries, project requirements, transportation delays, or other operational needs.
