Role Overview

We are seeking a highly organized Dispatcher & Patient Coordination Specialist to serve as the central point of contact between patients, facilities, and field technologists. This role directly impacts patient experience, technician efficiency, and revenue integrity.

This position requires a service‑first mindset. Physicians and facilities expect fast, frictionless execution — we adapt to their workflows. Patients must feel informed, supported, and prioritized at all times.

You will dispatch mobile diagnostic services, conduct patient pre‑qualification, maintain disciplined documentation, and ensure proactive, closed‑loop communication. Success requires strong follow‑through, prioritization skills, and calm professionalism under pressure.

Key Responsibilities

• Triage incoming orders (fax, portal, email, phone)
• Accurately log all activity in Rapid Rad
• Assign technologists based on location, modality, and urgency
• Coordinate same-day and next-day appointments efficiently
• Confirm appointments and set clear expectations
• Conduct outbound calls to gather demographics and scheduling details
• Assess exam readiness and elevate barriers
• Verify insurance using approved tools (Availity, Novitas)
• Maintain complete, real‑time notes for every interaction
• Proactively update facilities on scheduling issues
• Coordinate closely with technologists and billing staff
