Job Overview

The Dispatch Coordinator will manage daily schedules for Service Technicians and handle incoming service calls. Responsibilities include dispatching technicians, maintaining the customer database, and updating customers and internal partners on service progress, lead times, and schedules. Clear and concise communication is essential to provide top-quality customer service efficiently.

Responsibilities and Duties
  1. Handle the dispatch process from initial service call to completion:
    • Answer incoming customer calls and schedule/coordinate service calls.
    • Dispatch Service Technicians for each call.
    • Monitor technician progress and adjust dispatches as needed.
    • Respond to messages left overnight.
  2. Document all activities and keep internal teams updated, including creating dispatch tickets, debriefing technicians, and maintaining dispatch schedules.
  3. Forecast workload for 2-3 days ahead.
  4. Maintain 'On-Call' schedules for technicians.
  5. Plan and manage preventative maintenance and work orders by priority.
  6. Review work order backlog regularly.
  7. Dispatch company drivers and coordinate deliveries and equipment.
  8. Perform other related duties as assigned.
Skills, Education, and Competencies
  • Excellent communication skills, both oral and written.
  • Ability to multitask under pressure.
  • Experience managing multiple projects.
  • Strong organizational skills.
  • Knowledge of the service area or map reading skills.
  • Experience with FM Facility Maintenance is a plus.
  • Self-sufficient with minimal supervision.
  • High School Diploma or GED.
  • 3-5 years dispatch experience.
  • Proficiency in MS Office (Word, Excel, Outlook).
  • Honest, team-oriented, growth-minded, safety-conscious.
Physical Requirements and Work Conditions

Work is performed in a typical office environment. Employees may need to sit, stand, walk, hear, see, talk, and lift light to moderate loads. Site visits or ride-alongs with technicians may be required.
