Job summary

Hyve in Miami is seeking a Director of Event Operations to lead the onsite delivery for BETT USA, build a small team, and streamline processes across planning, budgeting, and execution. You will work closely with the VP of Operations on delivery strategy and ensure best-in-class event standards.

The role involves travel to BETT UK and ASU+GSV Summit, managing budgets, vendor relationships, staffing, and post-event reconciliation while collaborating with commercial and marketing teams.

Qualifications

• Strong background with proven experience in planning and implementing large-scale events, conferences and/or trade shows
• 5-7 years of event management experience, working in a large conference or tradeshow environment
• Exceptional interpersonal, communication and negotiation skills
• Must be super organized, and can work under pressure and make thoughtful decisions
• Must be extremely comfortable with technology platforms and technology management
• Have strong Excel skills or be willing to take courses/training necessary to achieve them

Responsibilities

• Plan and execute the event, including pre-event and on-site planning and execution
• Manage the onsite execution of our Meetups program
• Manage event budgets and forecasts; develop relationships with vendors; conduct site visits and manage RFPs
• Manage event logistics such as floor plans, room sets, AV, F&B, décor, signage, collateral materials, staffing, security, etc.
• Manage contract negotiations, invoice payments, and insurance requirements
• Plan and manage staffing for each event - including temp and contract staffing on-site
• Work on post-event reconciliation, including debriefing meetings with vendors
• Manage, grow, and lead a small team of 1-3 event coordinators/managers, including onboarding and objective setting
• Collaborate with commercial, marketing, and content teams to deliver sponsorships
• Develop and manage commercial inventory with budget alignment
• Provide weekly updates to finance on budgets
