Job description

The Admiral Nimitz Foundation is a Texas 501(c)(3) non-profit corporation headquartered in Fredericksburg, TX whose sole purpose is to support and operate the National Museum of the Pacific War. The mission of the National Museum of the Pacific War is to foster responsible citizenship and leadership by inspiring all ages with our collection and the enduring relevance of the stories from the Pacific War.

Position Summary

The Development Coordinator provides comprehensive administrative, operational, and donor services support to the Development Department and Foundation staff. This position serves as the organizational hub of the Development Department, ensuring efficient office operations, exceptional donor stewardship, accurate database management, fundraising event coordination, communications support, and executive administrative assistance. The Development Coordinator manages the day-to-day administrative functions of the department, allowing development leadership to focus on key functions. This position requires exceptional organization, professionalism, attention to detail, customer service, discretion, and the ability to manage multiple priorities simultaneously.

Executive & Administrative Support

  • Provide administrative support to the Development Department including calendaring and scheduling, meeting support, departmental reporting and recordkeeping, and correspondence with stakeholders.
Donor Database & Gift Administration
  • Assist with donation acceptance, data entry, and acknowledgements. Maintain fundraising dashboards, database records, and tracking reports while ensuring donor confidentiality and compliance with gift acceptance and recordkeeping policies.
Communications & Stewardship
  • Draft, edit, proofread, and distribute well written internal and external communications, with accurate and clear information. Support membership and donor acquisition and retention communications and activities.
Event & Meeting Coordination
  • Coordinate logistics for various types of meetings, events, and activities at all stages – planning, execution, and post-event evaluation and reporting. Keep active lists of task assignments, project timelines, and status reports.
General Responsibilities
  • Serve as the first point of contact for many donor and member inquiries, representing the Foundation with professionalism and hospitality.
  • Provide exceptional customer service to donors, members, volunteers, board members, and visitors.
  • Provide support to the CFO and the finance office by assisting with money processing, deposits, bank runs, and reporting.
  • Assist with special projects and strategic initiatives and perform other duties as assigned.
QualificationsEducation
  • Associate degree required; bachelor's degree preferred. Equivalent combination of education and experience may be considered.
Experience
  • Three to five years of administrative or office management experience.
  • Experience supporting executive leadership is preferred.
Knowledge, Skills & Abilities
  • Excellent organizational and project management skills with strong written and verbal communication skills and outstanding attention to detail and accuracy.
  • Ability to manage multiple projects with competing deadlines with a high level of professionalism, discretion, and confidentiality and strong customer service and interpersonal skills. Ability to work independently while contributing effectively to a collaborative team.
  • Advanced proficiency with Microsoft Office Suite. PREFERRED:
  • Experience with donor CRM software, email marketing platforms, and online event registration systems.
  • Command of emerging AI tools and organizational systems to ethically and professionally maximize office and organizational efficiencies.
  • Love of history, museums, artifacts, and / or military.

PhysicalRequirements
  • Ability to sit, stand, and work at a computer for extended periods.
  • Ability to lift up to 25 pounds.
  • Occasional evening and weekend work for fundraising events.
  • Local travel for meetings and Foundation events as needed.

This is a full-time, permanent, at-will position as an employee of the Admiral Nimitz Foundation. Regular work week is Monday – Friday 8:00 a.m. – 5:00 p.m. with a lunch hour. This is an in-office position at the Foundation offices on East Austin Street in Fredericksburg, TX. – with very limited, exceptional ability to work remotely. May include some scheduled evenings and weekends for donor & member-facing events. This position is available now with an anticipated start date of October 5 or sooner.

Salary&Benefits

Salary range is $20 – 22 per hourly pay at 40 hours a week ($41,600 – $45,760 annual) as an exempt, full time employee, payable every two weeks (26 pay periods) with full benefits per the Employee Handbook, including employee health insurance, access to dental and vision insurance, a 403 (b) retirement plan with company match at 3% of annual salary, accrued sick leave and vacation leave, 10 regular holidays, and a professional and dynamic work environment.
