Hyde Park Art Center seeks a full-time Development Coordinator to support the administration and implementation of the Art Center’s comprehensive fundraising program. The Development Coordinator will support a diverse array of fundraising strategies across individual donors, institutional funders, and special events/projects. This position will provide a broad base of experience in nonprofit fundraising, as well as nonprofit management in a dynamic environment.

Compensation and Hours:

The Development Coordinator is a full-time permanent position with an annual salary of $50,500. Benefits include health, dental and life insurance, 401(k) matching after six consecutive months of employment, and a generous PTO policy. Weekly hours will mainly be within the range of 9AM - 5PM Monday through Friday, with some additional evenings or weekends required for special events.

Reports to:

The Development Coordinator will report to the Art Center’s Director of Development + Communications, work closely with the Development and Marketing team, and collaborate with the entire Art Center staff.

Location: This is a primarily in-person position, with 1-2 remote work days per week. In-person events are also a part of this position.

Responsibilities:

The role responsibilities include, but are not limited to the following. Priorities will shift throughout the year following the development department’s calendar of events and solicitations.

  • Institutional Giving Coordination - 25%
    • Support institutional giving by taking ownership and responsibility for grant tracking and reporting, processing grant agreements in database, and communicating acknowledgement requirements and reporting schedule to appropriate staff.
    • Collect and upload data, narratives, and financial information to inform and support grant applications and reports.
    • Assist the Institutional Giving Manager and Director of Development + Communications in the development of narratives and budgets for corporate sponsorship, foundation, and government grant applications.
    • Assist in the prospecting and stewardship of corporate and foundational partners.
  • Individual Giving Coordination - 20%
    • Lead the creation, compilation of mailing lists, implementation, and evaluation of two annual fund campaign mailings, gala solicitation mailings, and other mailings as needed.
    • Support the Development staff with donor portfolios in preparing key solicitation and stewardship documents, and assisting in donor prospecting and research.
    • Process contributions and corresponding individual gift acknowledgements in an accurate and timely manner.
    • Manage financial reconciliation through proper documentation and collection of all individual giving and event pledges, revenue, and expenses.
  • Development Operations and Management - 25%
    • Oversee the management of the Art Center’s audience database, ensuring the accuracy and robustness of new and existing data.
    • Oversee the management of Constant Contact or communication database, updating the audience list on a regular basis.
    • Record and create monthly reports of Development Department activities and contributions, including event and mailing imports.
    • Schedule, prepare materials, and take notes at meetings for Development Department staff.
    • Update donor list and masthead on a quarterly basis, ensuring acknowledgement of new supporters on website and collateral.
    • Centralize and streamline vendor contracts associated with the development and communications department, scheduling a timely payment process in coordination with the finance team.
    • Centralize and streamline organizational supply and tech needs, scheduling a timely ordering process when necessary.
  • Special Events and Programs - 25%
    • Assist in all aspects of coordinating development-related events, including the Art Center’s Annual Gala, donor cultivation events, and others as specified.
    • Along with the Development Manager, support Gala logistics, including managing relationships with vendors and reviewing contracts, updating Gala website, and ensuring accuracy of sponsor logos and recognition on collateral.
    • Support the Development and Communications team and leadership in the preparation and implementation of Not Just Another Pretty Face, the Art Center’s signature triennial art-commissioning project. This work requires additional evening and weekend hours and will occur through 2026.
  • Organizational Expectations- 5%
    • Meet with key staff and departments when necessary, including participating in all-staff meetings, long-term planning, and other staff events.
    • Participate in organizational efforts to promote equity and inclusion, devoting time to equity workgroups, caucuses, and anti-racism trainings.

Qualifications:

The ideal candidate will have a strong desire to learn and grow with the organization in a fundraising role. Hyde Park Art Center is open to candidates with a variety of skills and experience, and many aspects of this position can be trained. The ideal candidate will exhibit many, but likely not all, of the following experiences and competencies:

  • Interest in learning or deepening experience in nonprofit fundraising.
  • Preferred one to two years of office experience.
  • An aptitude for organization, rigor, details, and managing and prioritizing multiple, concurrent responsibilities.
  • Experience with organizing and updating data collection and analysis.
  • Exceptional interpersonal and communication skills.
  • Critical thinking skills and creativity.
  • The ability to work as part of a team in a unique, dynamic environment.
  • A broader understanding of, and commitment to, the development and support of Chicago artists.
  • A commitment to equity, inclusion, and justice, and desire to work within an organization that strives to uphold those values in its culture, operations, and policies and procedures.
  • Flexibility to work some evenings and weekends, especially for events.

Physical Requirements

This role is sedentary work at a computer with a phone in an office environment. The role also requires attending meetings and events onsite, which may have set up and breakdown of equipment and materials. Additionally, the role requires attending events offsite, which may require traveling to other sites. Lifting and carrying materials or equipment up to 30 pounds may occur.
