Nurses for Newborns is seeking a detail-oriented and dependable part-time Development Administrative Coordinator to provide administrative and operational support to our Development team. This position is approximately 20 hours per week, Monday through Friday. The Development Administrative Coordinator will be responsible for opening the office each weekday at 8:30 a.m. and must be available to work in person at our Maplewood facility. This position is not remote. Hours may be adjusted based on organizational needs.
Nurses for Newborns partners with expecting and new parents, babies and families by providing compassionate nursing support, counseling, parenting education and resources. The Development Administrative Coordinator helps maintain our donor database, coordinate special events and ensure administrative workflows run smoothly. Under the direction of the Chief Development Officer, this position reports to and supports the Development Manager and may assist other team members as needed.
Donor database and development administration: Accurately enters donations, event registrations, pledges and constituent updates into the donor database. Processes incoming revenue and assists with deposit preparation in coordination with the Finance team. Prepares acknowledgment letters and tax receipts, supports database audits and generates donor, sponsorship and event tracking reports.
Donor and visitor support: Provides warm and professional customer service when responding to phone inquiries, assisting walk-in visitors and welcoming meeting participants. Maintains strict confidentiality when handling donor, financial and organizational information.
Special events: Works with the Chief Development Officer and Development Manager to coordinate the planning and execution of special events. Responsibilities include sponsorship solicitation, donor and vendor outreach, auction coordination and on-site event logistics.
Event materials and tracking: Prepares guest lists, name tags, table assignments, bid sheets and other event materials. Manages registration and attendee tracking, supports presentations and event materials and assists with pre-event and post-event evaluations.
Post-event support: Tracks auction items, assembles donor packages and follows up with donors after events. Compiles post-event reports and assists the Development Manager with financial reconciliation.
Administrative support: Assists with scheduling, meeting minutes, donor stewardship mailings and other administrative needs. Supports executive leadership, management and Development team members with assigned duties, committee work and special projects.
Daily office opening: Arrives by 8:30 a.m. each weekday to open the office and ensure the building and workspace are ready for staff, visitors and daily operations.
Qualifications include:
One or more years of experience in fundraising, development, nonprofit administration or a related field is preferred.
Previous experience working with a CRM database or managing data is preferred.
Proficiency with Outlook, Office 365, CRM software, design software and social media.
Strong verbal and written communication skills and the ability to work professionally with coworkers, visitors, donors, volunteers, corporate supporters, community partners, board members and organizational leadership.
Strong organizational skills, close attention to detail and the ability to plan work, manage competing priorities and meet deadlines.
The ability to multitask and remain organized in an environment with frequent interruptions or unexpected changes.
A high level of discretion, sound judgment and commitment to maintaining confidentiality.
The ability to work independently after receiving initial guidance while also contributing to a collaborative, team-focused environment.
Working conditions:
Work is primarily completed in an office environment. Some responsibilities may require time at off-site event venues.
