DENTAL INSURANCE / OFFICE COORDINATOR
POSITION SUMMARY The Dental Insurance Coordinator manages all dental insurance functions while supporting front-desk operations and delivering excellent patient service. This role requires strong attention to detail, clear communication, and a thorough understanding of dental insurance benefits, claims processing, and terminology. The coordinator also assists with daily operations, including reporting and front-desk support as needed.
KEY RESPONSIBILITIES
- Verify insurance eligibility and benefits prior to patient appointments
- Document complete benefit details, including deductibles, maximums, frequencies, limitations, exclusions, and waiting periods
- Maintain accurate and up-to-date insurance information in practice management software
- Submit clean, timely insurance claims with all required documentation, including narratives, radiographs, periodontal charts, and attachments
- Prepare, submit, and track pre-authorizations and pre-treatment estimates
- Monitor, follow up on, and resolve outstanding insurance claims
- Review aging reports and actively work delinquent claims
- Investigate denials, delays, and underpayments; submit corrections and appeals as needed
- Post and reconcile insurance payments and Explanation of Benefits (EOBs)
- Identify and resolve payment discrepancies
- Communicate with insurance carriers regarding benefits, claim status, and appeals
- Clearly explain insurance coverage and patient financial responsibility to patients
- Educate patients that insurance estimates are not guarantees of payment
- Coordinate with clinical and treatment teams to ensure accurate treatment estimates
- Maintain current fee schedules and insurance plan information
- Update insurance records when patient coverage changes occur
- Ensure all claims are submitted within required filing deadlines
- Coordinate benefits for patients with multiple insurance plans
- Maintain HIPAA compliance and protect patient confidentiality at all times
- Assist with phone coverage, scheduling.
- Communicate professionally with patients, team members, and insurance representatives
