POSITION SUMMARY
The Dental Administrative Assistant (DAA) serves as the initial point of contact for patients and visitors. The DAA delivers a high standard of customer service to maintain the overall patient experience and handles various front-office administrative responsibilities. The front-office environment is high-intensity and fast-paced, with a critical impact on health center efficiency.
ESSENTIAL JOB DUTIES and FUNCTIONS
- Understand the following concepts:
- A Federally Qualified Healthcare Center Look-Alike (FQLA)
- A Patient Centered Medical Home (PCMH)
- Recognition as a National Committee for Quality Assurance (NCQA)
- Participation in an Accountable Care Organization (ACO)
- Schedule patient appointments and follow-up visits.
- Register patients and accurately capture demographic information for reporting purposes.
- Comply with Red Flag Rules for photo identification.
- Handle patient intake and checkout processes.
- Manage patient information within the Electronic Health Records system.
- Understand insurance dynamics, including copays and coverage, and assist patients accordingly.
- Verify insurance information.
- Ensure compliance with insurance plan rules, including obtaining prior authorization when necessary.
- Collect copays at the time of service.
- Perform cash account management activities.
- Offer payment options to self-pay patients.
- Obtain Medicare ABN for non-covered services.
- Educate patients about health center resources and programs, such as:
- Sliding fee discount program
- Good Faith Estimate (GFE)
- Outreach & Enrollment programs
- Language services
- After hours coverage
Ensure compliance with safety and emergency procedures, including SDS and 990 binders.
Assist with scanning patient records into the EMR.
Create triages within the EMR system.
Mail and receive new patient information packets.
Answer and return phone calls, and switch phones to night/weekend service as needed.
Adhere to all HIPAA rules and regulations.
Participate in rotation of extended hours, including late nights, weekends, and holidays.
Support other locations and service lines as needed.
Perform other duties as assigned.
REQUIRED QUALIFICATIONS
- Meet The Wright Center for Community Health and affiliated entities' EOS People Analyzer Tool standards.
- Experience working within the EOS model (preferred).
- Mission-oriented with professional representation of the organization.
- High School Diploma or GED.
- 1-2 years of front-office experience in a high-volume medical practice (desirable).
- Ability to adapt to changing priorities.
- Attention to detail and accuracy.
- Maintain confidentiality.
- Bilingual skills are highly desired.
- Proficient in computer skills and EMR workflows.
- Reliable, punctual, and professional.
- Ability to work effectively in a fast-paced environment.
- Strong communication and interpersonal skills.
