Job summary

Visit.org is seeking an experienced Freelance Event Specialist to manage logistics for in-person events in Washington, DC. The role requires being on-site, coordinating staffing, shipping materials, and ensuring a high-quality guest experience.

The ideal candidate lives in the Washington, DC area, has corporate event experience, strong communication skills, and the energy to operate in a start-up environment. Flexible hours, nights and weekends, and travel are involved.

Qualifications

• Fluency in English and strong communication skills.
• Experience with corporate events and large-scale events.
• Willing and able to travel regionally.
• Contract-per-event availability and flexibility.

Responsibilities

• Coordinate all event details, shipping materials, and staffing for each event.
• Join planning meetings with corporate partners, nonprofits, and host teams.
• Be on-site to set up, run the event, and tear down; ensure high-quality guest experience.
• Represent Visit.org as on-site lead and problem solver at events.
• Coordinate roles with onsite team including host, nonprofit, venue, staff, and partner.
• Manage check-in and greet guests warmly.
• Resolve issues like missing supplies and tech challenges; escalate when needed.
• Provide updates, photos, and videos to Events Team during and after events.
• Pack and ship materials back to the distribution center after events.
• Able to lift up to 30 lbs and stand for extended periods.
