Job summary

Visit.org seeks an experienced Freelance Event Specialist in Spring, TX to manage in-person event logistics and on-site operations. You will coordinate planning meetings, staff, and shipping materials, ensuring a smooth, engaging guest experience.

The role requires hands-on leadership at events, excellent communication, and the ability to adapt quickly in a fast-paced startup environment. This is a per-event contract in the local region.

Qualifications

• Experience coordinating large-scale or corporate events.
• Able to manage on-site logistics, staffing, and materials.
• Strong customer service and communication skills.
• Wears multiple hats; proactive problem solver.
• Willing to travel within the local region and work nights/weekends.

Responsibilities

• Coordinate all event details, ship materials, and arrange staffing for each event.
• Join virtual planning meetings with partners and Visit.org coordinators.
• Be on-site to set up, align with the team, tear down, and ensure quality customer experience.
• Act as Visit.org representative and problem solver at events.
• Manage check-in and provide a warm welcome to guests.
• Handle issues like missing supplies or tech challenges and escalate when needed.
• Send updates, photos, and videos to Events Team during events.
• Pack supplies, label boxes, and assist with loading and shipping.
