Job summary

Visit.org is seeking an experienced Freelance Event Specialist for on-site, per-event work in Indianapolis, IN. You will coordinate logistics, staffing and materials, join planning calls, and ensure a high-quality guest experience at live events.

You should be comfortable on-site, problem-solving, and maintaining excellent customer service with travel flexibility across the local region. The role supports corporate volunteering programs and requires the energy to operate in a startup-like tech

Qualifications

• Fluency in English and strong communication required.
• Experience with group facilitation and managing group dynamics.
• Self-starter, organized and detail-oriented.
• Able to work flexible hours including nights and weekends.

Responsibilities

• Coordinate all event details, shipping materials and staffing; be on-site hands-on.
• Join virtual planning meetings before each event with all parties.
• Set up, align with on-site team, tear down, clean site areas and ensure high-quality experience.
• Represent Visit.org; lead and solve problems at events.
• Manage check-in and warmly welcome guests; escalate issues to Events Team when needed.
• Breakdown after events; repack and ship materials back to distribution center.
