Job summary

Mt. Washington Pediatric Hospital in Portland, OR is seeking a Detail‑Oriented Office Solutions Floater to support scanning, document prep, and QA tasks across day, swing, or night shifts. You will prepare sensitive documents, train staff, maintain confidentiality, and ensure image quality.

Responsibilities

  • Prepare sensitive documents for scanning and storage.
  • Reconstruct files in an organized and precise manner.

  • Train new employees on prep, scanning and QA processes.

Duties and Responsibilities
Scanning/Preparing/Storage:
  • Prepare sensitive documents for scanning.
  • Reconstruct files in an organized and precise manner.
  • Scan documents using Kodak scanners into a secure file system.
  • Review imaged documents, verifying the image quality meets the requirements outlined in that contract and correct image quality as required.
  • Understand image quality and identify issues throughout the process for correction.
  • Maintain storage of documents for various customers
  • Perform all contracted tasks in a timely manner.
Confidentiality:
  • Process potentially graphic and confidential documents.
  • Maintain strict confidentiality of all documents processed.
Training:
  • Train new employees on prepping, scanning and QA processes to contract specifications.
  • Retrain current employees according to Document Services Team Supervisor request as directed.
  • Provide timely and appropriate feedback to include positive and developmental comments.
  • Understand and adapt training style based on employee communication and learning styles.
  • Adequately prepare training materials including files, SOP’s, and necessary supplies.
  • Coordinate with Document Services Team Supervisor to ensure employee accommodations are provided and supported to ensure employee success.
  • Communicate any performance issues or inability to meet job expectations during training to Document Services Team Supervisor.
Communication:
  • Communicate efficiently with Document Services Team Supervisor and coworkers regarding job tasks.
  • Maintain appropriate conversations surrounding contracted work and uphold the highest standard of confidentiality per the contract requirements and/or Relay policy.
  • Problem Solving: Support work environment in multiple tasks and handle work related issues that arise.
  • Keeps Supervisor informed of all issues pertaining to customer jobs and workflow maintenance.
Qualifications and Experience:
  • At least three years of experience with office terminology and practices.
  • Experience training or mentoring co-workers or employees a plus.
  • Experience with document imaging and Image Trust scanning software is a plus.
  • Microsoft Office 365 knowledge experience.
  • Excellent attention to detail.
  • Ability to complete multiple, varying tasks throughout shift and maintain a clean, organized workspace.
