Job description

Come join our team as a DATA AND IT ANALYST and make a difference in our community!

Founded in 2009 by the Housing Authority of the County of San Bernardino, Knowledge and Education for Your Success (KEYS) is a 501(c)(3) nonprofit organization and public-private partnership dedicated to enhancing access to supportive services for low-income residents in San Bernardino County. KEYS provides an array of services, including housing assistance, case management, and resources that help individuals and families achieve housing stability.

In summary, the DATA AND IT ANALYST supports KEYS' housing and homelessness programs by maintaining reliable information systems, ensuring accurate data and reporting, and providing technical support to staff. This position works across departments to improve data quality, develop reports and dashboards, troubleshoot technical issues, and identify opportunities to streamline operations through technology, automation, and innovative solutions.

Key Responsibilities include:
  • Monitor and maintain data accuracy, completeness, and consistency across Salesforce, HMIS, Smartsheet, and other organizational systems.

  • Prepare, reconcile, and validate routine and special reports for program operations, management, funders, and contractual reporting requirements.

  • Develop dashboards and analytical tools to track referrals, enrollments, housing placements, caseloads, program outcomes, and performance goals.

  • Administer assigned Salesforce and Smartsheet functions, including user access, permissions, reports, dashboards, forms, workflows, and automations.

  • Provide day-to-day technical support for Microsoft 365, software applications, user accounts, computers, and routine connectivity issues.

  • Coordinate complex technical issues, system maintenance, and cybersecurity concerns with external IT providers.

  • Support employee onboarding and offboarding by coordinating technology access, equipment assignments, and account setup or deactivation.

  • Maintain IT equipment, software license, and user-access inventories while supporting data security, confidentiality, and system continuity.

  • Identify opportunities to improve data collection, reporting, and organizational workflows through automation and technology solutions.

  • Develop automated reports, data-quality checks, and performance alerts to improve the accuracy and timeliness of information.

  • Evaluate and support approved technology solutions, including AI-enabled tools and workflow automation platforms.

  • Provide staff training, job aids, and technical guidance on organizational systems, data-entry standards, and technology best practices.

  • Collaborate with Programs, Finance, and Grants and Compliance to improve reporting accuracy, investigate discrepancies, and support informed decision-making.

  • Analyze operational trends, communicate recommendations to management, and maintain documentation of systems, procedures, and improvements.

EXPERIENCE/TRAINING/REQUIREMENTS

A bachelor's degree in information systems, data analytics, computer science, business technology, or a related field is preferred. Equivalent education and relevant experience may be considered.

Minimum three years of experience in data analysis, information systems, reporting, application administration, or technical support required.

The ideal candidate will have strong Microsoft Excel skills, including pivot tables, lookup functions, formulas, and data validation, along with proficiency in Microsoft 365. Candidates should demonstrate the ability to troubleshoot technical issues, analyze data, develop reports, and communicate technical concepts to nontechnical users.

Experience with Salesforce, Smartsheet, HMIS, Power BI, Power Query, SQL, data integrations, or automated reporting tools is preferred. Experience in nonprofit organizations, housing or homelessness services, or grant-funded programs is a plus. Familiarity with AI-enabled business applications, low-code automation platforms, or emerging productivity technologies is also desirable.

The successful candidate must demonstrate strong analytical, organizational, communication, and problem-solving skills, maintain strict confidentiality, and work collaboratively with staff across departments.
