Job summary

  • Organize meetings, conferences, and travel arrangements; maintain CMS work orders.

Position: Administrative Assistant

Supervisor: CWC Manager

Division: Tribal Education Administration

Department: Community Wellness Center

Responsibilities

The Administrative Assistant is responsible for providing administrative and clerical services to the Community Wellness Center. The position requires the use of independent judgment as it pertains to the administrative functions.

Essential Duties and responsibilities include the following
  • Create inventory of all tools and facilities assets.
  • Maintain contact list for all vendors and contractors.
  • Promptly answer all incoming calls with proper telephone etiquette; must sound professional, credible, pleasant and sincere.
  • Perform clerical duties such as but not limited to entering data in the computer, typing, faxing, record information on various logs, sorting mail.
  • Ensure a maximum level of professionalism with employees, vendors and general public.
  • Prepare spreadsheets and memorandums.
  • Create purchase orders.
  • Set up and maintain a filing system.
  • Generate reports as needed.
  • Organize and coordinate meetings, conferences, and travel arrangements.
  • Responsible for maintaining consistent regular attendance.
  • Employee shall be responsible of having all documents current and valid at all times.
  • Create work orders as needed and keep reports on CMS work order software.
  • Perform such other tasks as may be assigned from time to time by supervisor.

This position does not carry out supervisory responsivities in accordance with the organization’s policies and applicable laws.

Education/experience requirements

Minimum Qualifications: A minimum of 30 or more college hours or an associate degree or equivalent technical degree (such as Office Assistant, Paraprofessional Advanced, or other applicable qualifying certification) and demonstrated experience performing high-level office administrative assistant functions, including drafting memorandums with oversight of budgets and operations functions. One to three years of related experience and/or training.

Preferred Qualifications: A bachelor’s degree in business administration, finance, accounting, or a related field is preferred. Proven experience as an administrative assistant or similar role, preferably in a finance or accounting environment. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications. Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines. Previous experience supporting C-level executives or finance professionals is a plus.
