Job summary

Responsibilities

  • Audit monthly payments to insurance vendors and reconcile with payroll reports.
  • Coordinate with third party administrator and accounting staff for billing.
  • Reconcile monthly health plan invoices for KTTT and KLEC casinos.
  • Process semi-monthly pension plan reporting and coordinate funding with accounting.
  • Enroll and process pension plan deductions for employees.
  • Process group life and STD eligibility reports for payment.
  • Reconcile life insurance eligibility reports and invoices monthly.
  • Assist employees with benefit programs (medical, dental, vision, life, disability).
  • Assist with inquiries over the phone and in-person.
  • Deliver new hire orientations and pension/supplemental benefits meetings.
  • Prepare communication materials regarding benefits and enrollment.
  • Assist in annual open enrollment and deadline communications.
  • Maintain online benefits records and master files.

Position: Benefits Coordinator

Supervisor: Benefits Manager

Division: Tribal Operations Administration

Department: Self-Funded Insurance Plan

Responsibilities:

The Benefits Coordinator is responsible for coordination of benefits programs offered to eligible employees. Audit and reconciling for the department.

Essential Duties and responsibilities include the following:

  • Audit monthly payment to insurance vendors, comparing amounts against payroll reports and charging benefits costs to appropriate program fund accounts.
  • Work with insurance third party administrator and accounting staff to ensure billing is processed accurately.
  • Reconciles group health plan invoices for Kickapoo Traditional Tribe of Texas (KTTT) and Kickapoo Lucky Eagle (KLEC) Casino on a monthly basis.
  • Process semi-monthly reporting for Defined Benefit Pension Plan, as well as coordinate the funding with the accounting department.
  • Enroll and process all pension plan deductions for qualified employees of KTTT, and KLEC.
  • Process group life insurance and STD eligibility reports for payment.
  • Reconciles group life insurance monthly eligibility reports/invoices for Kickapoo Traditional Tribe of Texas and Kickapoo Lucky Eagle Casino.
  • Assist employees with various employee benefit programs, such as medical, dental, vision, life, disability and supplemental insurances.
  • Assist and resolve with over the phone and in-person inquiries.
  • Delivers new hire orientations, pension plan and supplemental benefits educational meetings.
  • Prepare and develop communication and educational materials regarding the benefits package for all the insured employees.
  • Assists in the annual open enrollment process including disbursement of materials, communications, and employee assistance.
  • Inform employees of deadlines regarding signing up for benefits.
  • Maintains employee benefits records on-line (Kronos, MIP, WebEx, Symetra).
  • Upkeep the employee’s master benefit files.
  • Assists in MedCom reporting and corrections in order to ensure accuracy.
  • Assists Benefits Manager with 1095c reporting.
  • Assists in preparing and distributing pension plan yearly statements.
  • Assists with Human Resources related functions/projects when needed.
  • Completes Child Support Medical notices and reports to Attorney General’s Office.
  • Assists in the coordination of the annual benefits fairs and flu shot clinics.
  • Other work-related duties as assigned by immediate supervisor.

Knowledge, skills and abilities for the position:

Supervision exercised:

This position does not carry out supervisory responsibilities in accordance with the organization’s policies and applicable laws.

Education/experience requirements:

Minimum Qualifications: High school diploma or equivalent with some college or technical school coursework preferred and minimum of three (3) years of job-related experience, preferably in a human resource department, technical experience, including responsibility for maintaining computer systems or any equivalent combination of education and experience that provides the required knowledge, skills and abilities.

Preferred Qualifications: Bachelor’s degree in business or a related field. Previous experience in a benefit related field.
