Job summary

System One is seeking a Customer Service Representative for Mt. Olive, NJ in a contract-to-hire role. The position supports sales, planning, procurement, production, and shipping teams to provide comprehensive customer service for a defined account base.

Responsibilities include order processing across systems, coordinating with the sales team, and ensuring timely communication of pricing, ship dates, and special requirements. Excellent English and MS Office skills are required.

Qualifications

• High School Diploma or GED is required.
• Fluency in English required.
• Knowledge of Microsoft Office: Word, Excel, PowerPoint, Office 365.
• 2 years of prior customer service experience.

Responsibilities

• Coordinate all sales activities for a defined customer base.
• Enter and retrieve information to process orders in multiple systems.
• Receive and process orders from customers, sales reps, and portals.
• Enter and maintain customer information in the database.
• Collaborate with the sales team on issues for the customer base.
• Ensure labeling, packaging, documents are entered and communicated to departments.
• Confirm pricing, inventory, ship date, and other info to customers via email/phone/fax.
• Prioritize orders to meet ship dates and prevent delays.
• Maintain customer documentation for orders and samples.
• Keep customers informed about order status and actions needed.
• Coordinate forecasts from customers and distribute to procurement/planning.
• Attend trainings and travel locally to customer sites as required.
• Respond to billing inquiries and coordinate resolution with departments.
• Process customer complaints in ETQ and handle credits as needed.
• Coordinate with leadership to define post-sale support initiatives.
• Act as liaison between sales, quality control, regulatory, shipping and receiving.
• Participate in evaluating and improving metrics data.
• Back-up other CS reps when absent.
