Job summary

Hartfiel Company in Plano, TX seeks a Customer Service Representative to be the first point of contact for customers, handling orders, returns, and inquiries with accuracy and courtesy.

You'll partner closely with the outside sales team to estimate delivery dates, prepare quotations, set up new accounts, and maintain supplier relationships, while keeping customers informed and satisfied.

Responsibilities

• Estimate delivery dates based on vendor production and shipping schedules and keep customers informed.
• Develop quotations and coordinate details to help sales close deals.

• Build and maintain relationships with supplier partners and identify new product opportunities.
• Schedule appointments for outside sales and support weekly funnel meetings.

As a Customer Service Representative, you’ll partner closely with our outside sales team to make every customer interaction smooth, solutions-focused, and memorable, helping keep orders moving and relationships strong.

What You'll Do

• Be the first point of contact for customers — by phone, fax, and email — helping them place orders, process returns, and get quick answers to their questions and concerns.
• Keep customers in the loop by estimating delivery dates, drawing on your knowledge of vendor production and shipping schedules.
• Dig into customer questions and challenges, and bring solutions rather than just answers.
• Put together quotations and coordinate the details that help our sales team close the deal.
• Set up new customer accounts with accurate, complete information in our database.
• Build and maintain strong relationships with our supplier partners.
• Spot opportunities to introduce customers to new products and services.
• Schedule appointments for our outside sales team, keeping their calendars running smoothly.
• Turn inbound calls into new opportunities for the business.
• Represent our suppliers with professionalism as their delegate.
• Monitor stock levels for customer-specific inventory.
• Collaborate with the team in weekly funnel meetings to align on priorities and wins.
• Pitch in on other projects and duties as they come up. We’re a team that supports each other.

What We\'re Looking For

• An associate’s degree from an accredited college or technical school, and/or one to three years of experience in customer service or a related field, is preferred.
