Job summary

Capsa Healthcare is seeking a dedicated Customer Service Representative to join our Harloff division in Colorado Springs, Colorado. This customer-facing role handles receiving and processing orders and provides top-tier support to customers and sales representatives.

You will troubleshoot and de-escalate complex issues, maintain professionalism, and use ERP systems to quote, invoice, and manage orders with accuracy and speed.

Qualifications

• Minimum 5 years of strong customer service experience.
• At least 2 years of customer service training preferred.
• Excellent multitasking and problem-solving abilities.
• Basic computer skills including ERP navigation.

Responsibilities

• Respond to incoming customer calls and inquiries promptly, typically within one hour.
• Provide accurate product info, quotes, and pricing to customers and sales teams.
• Process invoicing, order acknowledgments, RMAs, warranty orders, and freight damage claims.
• Maintain 95% FTT accuracy on monthly data entry and daily order-entry logs.
• Obtain freight estimates, schedule pickups, and train co-workers as needed.

About the Role:

Capsa Healthcare is seeking a dedicated Customer Service Representative to join our Harloff division based in Colorado Springs, Colorado . In this customer-facing position, you will be essential to receiving and processing orders while providing top-tier support to our customers and sales representatives . We are looking for an individual who excels at maintaining professionalism and courtesy while troubleshooting and de-escalating complex customer challenges .

Key Responsibilities

• Receive and respond to incoming customer phone calls and inquiries (via email, voicemail, and website) promptly, typically within one hour of receipt .
• Supply customers and sales teams with accurate product information, written quotes, and pricing details .
• Process invoicing, order acknowledgments, RMA, warranty orders, and freight damage claims .
• Maintain a 95% First Time Through (FTT) accuracy rate on month-over-month data entry and maintain daily logs for order entry errors .
• Obtain freight estimates, schedule freight pickups, and cooperatively provide hands-on job training to co-workers as needed .

Qualifications

• A minimum of 5 years of strong customer service experience .
• At least 2 years of previous customer service training experience is highly preferred .
• Excellent ability to multi-task and switch tasks alongside strong problem-solving and reasoning skills .
• Basic computer skills, including the ability to navigate file folders, company intranets, and ERP systems .
