- Job Title: Customer Service & Order Management Coordinator
- Pay Rate Range: $22.00-$27.00/hr
- Location: Burnsville, MN
- Schedule: 1st Shift Monday–Friday 8AM-5PM with required overtime as needed.

Requirements and Qualifications
- 2+ years of customer service, order management, administrative, or account support experience preferred.
- Strong written communication skills, especially professional email communication.
- Excellent attention to detail and data-entry accuracy.
- Comfortable learning new software and systems.
- Experience with Google Drive, Google Sheets, and email.
- Experience with order management, ERP, CRM, or production-management software is a plus.
- Printavo experience is a plus but not required.
- Experience creating invoices or working with basic billing/accounting processes is helpful.
- Ability to manage multiple orders and deadlines simultaneously.
- Strong follow-through and problem-solving skills.
- Comfortable communicating with both customers and internal production staff.
- Reliable attendance and ability to independently manage responsibilities after training.

- This person should be comfortable working in a growing production environment where priorities can change throughout the day and where accuracy, urgency, and customer communication are all important.
Duties and Responsibilities
- We are looking for a highly organized and dependable Customer Service & Order Management Coordinator to support our customer service and production operations.
- This is an important operational role that serves as a link between our customers, production team, fulfillment operations, and billing. The ideal candidate is comfortable managing multiple priorities, communicating professionally with customers, and accurately entering and maintaining orders in our systems.
- This position will initially work alongside and provide backup to an experienced team member, with the goal of becoming fully cross-trained and capable of independently handling the day-to-day responsibilities of the department when needed.
Primary Responsibilities
- Respond to customer emails promptly and professionally.
- Enter new customer orders into Printavo accurately and completely.
- Review customer order information for accuracy and follow up on missing information when necessary.
- Update and maintain production "Need to Run"files in Google Drive.
- Communicate order requirements, deadlines, changes, and priorities to the production team.
- Send invoices to customers and follow up on billing-related questions.
- Create invoices for fulfillment and print-on-demand orders.
- Monitor active orders and help ensure they continue moving through production.
- Communicate order status and production updates to customers.
- Coordinate internally with production, artwork, shipping, receiving, and fulfillment teams.
- Help resolve order discrepancies and customer service issues.
- Maintain organized and accurate customer and order records.
- Provide full coverage of customer service/order management responsibilities when other team members are absent.
