Job summary

Hamilton Medical in Reno is seeking a detail‑oriented Customer Service Specialist to manage orders, invoicing, and CRM records. You will receive calls, process purchase orders, verify shipping details, and communicate with customers to resolve issues and pricing discrepancies.

Responsibilities include setting up new accounts in the ERP, handling returns, processing credit memos, and maintaining documentation while supporting the service department with billing and inventory tasks.

Qualifications

• Proficient in Word and Excel for documenting and tracking information.
• Strong communication (verbal and written) and interpersonal skills.
• Ability to identify deficiencies in customer interaction and correct documents accordingly.
• Demonstrates adaptability and willingness to support department goals.

Responsibilities

• Answer all incoming calls in a friendly and professional manner and direct calls as appropriate.
• Receive and process incoming customer purchase orders and release orders to the warehouse.
• Verify shipping addresses and pricing information; contact customers for discrepancies.
• Send customer invoices via USPS mail, email, and portals as requested.
• Set up new customer accounts in the ERP system and update CRM with contact details.
• Provide information on purchases, tracking, invoices, backorders, and substitutions.
• Facilitate customer returns per RGA/RMA procedures and process credit memos.
• Update CRM with customer interactions and complaints; support service billing tasks.
• Maintain stock of envelopes and postage supplies; assist with inventory transactions.
• Document procedures and stay current with policies; assist with cross-department tasks.
