Job summary

Crew Life at Sea Ltd. in Miami (US) seeks a proactive operations lead for the Crew Office to manage payroll, sign-on/off, visas, crew movement, and related administrative tasks aboard ships.

You will supervise delegated roles, ensure compliance with US tax requirements, coordinate with port agents and shore HR, and uphold safety and pollution prevention rules while maintaining accurate records.

Responsibilities

• Pro-active approach to problem solving in payroll and crew admin.
• Treats crew members as internal customers and ensures their needs are met.
• Overall responsibility for operations within the Crew Office.
• Supervise, train and guide Second Purser Crew and Crew Administrator.
• Audit Crew Administrator and Second Purser floats for accuracy.
• Manage ship clearance for crew related matters.
• Arrange visas with port agents for crew sign-offs.
• Attend ships clearance activities and resolve crew issues with agents and authorities.
• Coordinate transportation and hotel for sign-off crew with port agents.
• Oversee sign-on/off procedures and briefing schedules.
• Escort crew through port terminals in US ports.
• Assist with payroll queries during Crew Office hours.
• Process all FOB (fund on board) requests and ensure criteria are met.
• Authorize passports with department head’s authority.
• Distribute vacation schedules and communicate with shore HR.
• Assign crew cabin allocations and uniform requisitions.
• Ensure payroll contracts are activated in MXP and related systems.
• Review and balance payroll reports and EOM/MID processes.
• Balance cash advances and prepare EOM payroll packages for signatures.
• Retain/destroy payroll documents per retention policy.
• Facilitate training of new Crew Pursers and support staff.
• Participate in crew safety drills following ship command instructions.
• Comply with company safety and pollution prevention regulations.
