Jobtailor seeks a Resource Manager to oversee day-to-day staffing for a fast-paced creative environment. You will match talent to briefs, coordinate with Account, Strategy, Production, and leadership to plan workloads, and monitor capacity across teams.

As a key liaison, you will lead staffing meetings, manage freelance onboarding, and forecast future needs. Strong organizational skills and collaboration are essential in this role.

Qualifications

• 2–4 years of experience in resource management, creative operations, project management, or related role in an agency or fast-paced creative environment.
• Strong organizational skills and attention to detail.
• Ability to manage multiple staffing needs, projects, and priorities simultaneously.
• Experience supporting resource planning, staffing, scheduling, or project allocations across creative teams.
• Understanding of creative team workflows and roles across creative, design, strategy, and production.
• Confidence working with project management and resource management tools, trackers, and staffing systems.
• Strong communication skills and ability to build relationships across Creative, Account, Strategy, Production, and Operations teams.
• Ability to understand competing priorities, ask the right questions, and identify practical staffing solutions.
• Proactive and solutions-oriented mindset.
• Comfort working in a fast-moving environment where priorities, timelines, and staffing needs can change quickly.
• Collaborative, people-first approach with interest in understanding individuals' skills, strengths, interests, and availability.

Responsibilities

• Manage and maintain the day-to-day creative resource tracker.
• Support staffing across projects by matching people and skill sets to briefs.
• Work with Account, Strategy, Production, and project leads to understand upcoming work, timelines, staffing requirements, and project changes.
• Monitor creative capacity and utilization, identifying conflicts, gaps, and over- or under-allocation.
• Lead weekly resource and staffing meetings.
• Gather information, maintain accurate allocations, and follow up on staffing changes.
• Coordinate freelance resource needs, including identifying additional support requirements, tracking availability, and supporting onboarding and extensions.
• Develop an understanding of team skills, experience, interests, development goals, and availability to inform staffing recommendations.
• Communicate staffing changes and maintain visibility into project assignments.
• Support forecasting of upcoming resource needs based on the project pipeline.
• Improve resource management tools, trackers, and workflows.
