Job summary

White & Case is seeking a Partner Resources Coordinator in New York to manage the end-to-end lifecycle events of partners, including departures, retirements, arrivals and promotions. You will coordinate documentation, maintain records in Workday, and support onboarding and promotion processes while engaging with senior leadership.

Qualifications

  • Bachelor's degree preferred.

Responsibilities

  • Coordinate end-to-end administration of partner departures, including resignations, retirements, and other lifecycle events.
  • Prepare and coordinate departure, retirement, and other lifecycle documentation (agreements, annexes, tax communications).
  • Manage partner departure protocol, track actions, and liaise with GC, Information Governance, Compensation, Tax, Benefits, Technology and local teams.
  • Maintain partner records and distribution lists; coordinate email account setup, maintenance, and closure.
  • Process partner lifecycle changes (arrivals, transfers, promotions, leaves, part-time arrangements).
  • Maintain data in Workday and other systems; prepare employment and income verification letters as needed.
  • Support global lateral partner onboarding and orientation; assist with New Partner Promotion processes.

NAJoin our dynamic Global Partner Resources team as a Partner Resources Coordinator. You'll play a crucial role in supporting partner onboarding, departures, and retirements, as well as assisting with the internal partner promotion process. Your contribution will be essential in ensuring smooth transitions and maintaining the integrity of our partner operations. This role involves high interaction with partners and senior leadership, handling sensitive matters with the utmost discretion. This role offers high visibility and interaction with senior partners and firm leadership, including the Office of the Chair, Vice Chair, Executive Committee, Partnership Committee, Office of the General Counsel, and Regional Section Heads. You will be involved in projects and processes that are critical to the success of our partners and the Firm as a whole.The roles and responsibilities of this job include:Coordinate the end-to-end administration of partner departures, including resignations, retirements, mutual separations and deaths, through and beyond the withdrawal date.Prepare and coordinate partner departure, retirement, conversion and other lifecycle documentation, including agreements, annexes and tax-related communications.Manage the partner departure protocol, tracking required actions and coordinating with relevant teams, including Office of the General Counsel, Information Governance, Partner Compensation, Tax, Pension, Benefits, Technology and local administrative teams.Maintain former and retired partner records and distribution lists, including coordination of email account setup, maintenance and closure.Process and communicate partner lifecycle changes, including arrivals, transfers, assignments, promotions, leaves of absence and part-time arrangements.Maintain accurate partner information in Workday and other relevant systems, and prepare employment and income-verification letters as needed.Support global lateral partner onboarding, working closely with the Lateral Partner Recruiting team and coordinating orientation sessions, follow-up activities and onboarding requirements.Support the annual New Partner Promotion process, including communications, candidate materials and related administration.Develop a working knowledge of the Partnership Agreement and respond to routine partner inquiries, escalating matters as appropriate.Prepare partner reports, analyze data and support Firm initiatives and special projects as assigned by the Global Head of Partner Resources, Director and/or Managers of Partner ResourcesQualificationsBachelor's degree preferredThree or more years of experience in a law firm, professional services or similarly complex corporate environment preferredProficiency in Microsoft Office, particularly Word, Excel and PowerPointBasic understanding of concepts relating to finance and human resource information systems, compensation and report generationStrong written and verbal communication skills, with the ability to communicate confidently and effectively with stakeholders at all levelsAbility to coordinate effectively across global, cross-functional teams and manage competing prioritiesExceptional attention to detail, organizational skills and ability to meet deadlines accurately in a fast-paced environmentProactive and solution-oriented approach, with an ability to identify opportunities to improve processes and administrative effectivenessStrong relationship-building skills and an agreeable, collaborative approach to working as part of a global team.Sound judgment, discretion and ability to handle highly confidential information with integrityWillingness and ability to develop knowledge of complex partner benefits, pension, compensation and tax mattersFlexibility to work outside regular business hours when requiredNew York salary range is: $73,600 - $110,400.This role reports toDirector, Partner ResourcesEqual OpportunitiesWhite & Case is an Equal Employment Opportunity (EEO) employer and is committed to creating a fair workplace.
