Job summary

Pilot Company seeks a Licensing Administrator to support the Licensing team across multiple states, ensuring renewals, payments, and compliance tasks are completed accurately. You will maintain records in Avalara ALM and monitor changing licensing requirements for store operations.

Qualifications

  • Associate degree or 2 years related experience.
  • Related experience in accounting, tax, real estate, compliance, legal support/paralegal, or title/mortgage operations preferred.
  • Highly organized; strong attention to detail and time management.
  • Clear verbal and written communication.
  • Ability to work independently and collaboratively; exercise sound judgment and elevate as needed.
  • Prioritize and adapt to changing demands; manage multiple tasks, meet deadlines, and maintain urgency.

Responsibilities

  • Provide administrative and research support to the Licensing team to maintain operational licenses and permits across the company’s multi‑state footprint.
  • Support timely renewals, payments, and compliance documentation.
  • Ensure accurate records in company’s licensing database system, Avalara License Management (ALM).
  • Research, monitor, and update state/local licensing requirements impacting store operations and other business activities.
  • Communicate professionally with internal stakeholders and regulatory agencies.
  • Support Licensing Specialists on daily licensing tasks and special projects, as instructed.
  • Perform other tasks, as needed.
