Pilot Company is seeking an on-site Administrative/Operations Support professional in Knoxville, TN. This role provides administrative and operational support across legal and retail technology functions, coordinating projects, managing documentation, and ensuring compliance across departments.

The position supports contract routing and execution, tracks timelines, and acts as a liaison between cross-functional teams to keep priorities on track and processes running smoothly.

Qualifications

• High school diploma required.
• Minimum of 1 year of experience.
• Must be legally authorized to work in the United States without employer sponsorship.
• Local presence in Knoxville, TN or surrounding communities preferred.

Responsibilities

• Coordinate and maintain legal, retail, and technology-related records, contracts, and documentation.
• Support project planning, tracking, and execution across multiple departments.
• Assist with compliance initiatives, audits, and document retention requirements.
• Manage contract routing, approval workflows, and vendor documentation.
• Support contract execution through CLM or Jira; execute Docusigns as needed.
• Track project timelines and deliverables to ensure timely completion.

Job Description

The purpose of this Knoxville, TN-based (on site ) job is to provide administrative and operational support across the legal and retail technology functions. This role coordinates projects, manages documentation, supports compliance efforts, tracks departmental initiatives, and serves as a liaison between cross-functional teams to ensure efficient business operations and successful execution of key priorities.

Essential Functions

• Coordinate and maintain legal, retail, and technology-related records, contracts, and documentation.
• Support project planning, tracking, and execution across multiple departments.
• Assist with compliance initiatives, audits, and document retention requirements.
• Manage contract routing, approval workflows, and vendor documentation.
• Maintain and support contract execution process (through CLM or Jira, as required), ensuring timely review, and execution.
• Execute Docusigns as needed.
• Track project timelines, action items, and departmental deliverables to ensure timely completion.
• Support special projects and process improvement initiatives while maintaining confidentiality of sensitive information.
• Model behaviors that support the company’s common purpose; ensure guests and team members are supported at the highest level.
• Complete other duties, as assigned.
