Job summary

Pilot Company is seeking a Licensing Administrative Specialist to support the Licensing team in maintaining licenses and permits across multiple states. You will help with renewals, payments, and compliance documentation while tracking regulatory changes impacting stores.

The role requires meticulous organization, strong communication skills, and the ability to work both independently and with others on complex licensing projects.

Qualifications

  • Associate degree or a minimum of 2 years related experience.
  • Related experience in accounting, tax, real estate, compliance, legal support/paralegal, or title/mortgage operations preferred.
  • Highly organized; strong attention to detail and time management.
  • Clear verbal and written communication.
  • Ability to work independently and collaboratively; exercise sound judgment and elevate as needed.
  • Prioritize and adapt to changing demands; manage multiple tasks, meet deadlines, and maintain urgency.

Responsibilities

  • Provide administrative and research support to the Licensing team across multi-state licenses.
  • Support timely renewals, payments, and compliance documentation.
  • Research and update state/local licensing requirements impacting store operations.
  • Communicate professionally with internal stakeholders and regulatory agencies.
  • Assist Licensing Specialists on daily licensing tasks and special projects.

Job Description

  • Support timely renewals, payments, and compliance documentation.
  • Research, monitor, and update state/local licensing requirements impacting store operations and other business activities.
  • Communicate professionally with internal stakeholders and regulatory agencies.
  • Support Licensing Specialists on daily licensing tasks and special projects, as instructed.
  • Perform other tasks, as needed.
