About This Job

The Coordinator I, Accounts Payable is responsible for working with CarMax stores, external partners, customers, and other internal partners to execute a variety of compliance related tasks in support of the Accounts Payable team. The responsibilities in this role are cross-functional across multiple desks. Duties include supporting the unclaimed property process, executing vendor resale certificates, and supporting various audits through retrieving documentation (both internal and external). A successful Coordinator I in Accounts Payable must demonstrate strong teamwork, a drive to deliver timely, high-quality work and a commitment to customer service.

What You Will Do – Essential Responsibilities

Typical responsibilities may include:

  • Utilize multiple systems to support unclaimed property by researching return checks for all Payables departments and assisting with returned unclaimed property letters.
  • Communicate with customers/vendors to obtain better address information or perform skip trace functions to locate.
  • Daily research of Accounts Payable returned mail (e.g., vendor & customers returned payments, returned unclaimed property letters), filing, and other administrative duties as required.
  • Daily submission requests for vendor resale certificates.
  • Administrative support for various audits conducted both internally and externally.
  • Work on projects as assigned.

Education and/or Experience

  • High school diploma or equivalent required
  • 1+ years of business-related experience required (e.g., bookkeeping, cash management, office management)
  • Experience with basic accounting concepts a plus
  • Basic level in Microsoft Excel required (e.g., sorting, filtering, subtotals, shortcuts)
  • Basic level in Microsoft Word, Teams, Outlook highly preferred
  • Experience in Cloud ERP solution (e.g., Oracle) is a plus
