We are seeking a highly organized and proactive Contracts Administrator to support the management of customer and vendor contracts, airport permits, licenses, and related documentation within a fast-paced, multi-location organization.
Although this position partners closely with and reports through Legal, this is not a legal or paralegal role. The individual does not need to make legal determinations. Instead, they need to understand contractual and permitting requirements, maintain accurate records, identify what actions are needed, and proactively drive those actions through completion.
A major focus will be ensuring the organization maintains the appropriate airport permits, licenses, and authorizations to provide specific services for customers across its locations. As the business grows or expands its service offerings, this person should naturally be thinking: What do we already have? What do we need? What needs to happen next?
Key Responsibilities
- Manage airport permits and licenses, including researching requirements, completing applications, tracking approvals, coordinating renewals, and maintaining ongoing documentation.
- Proactively identify permitting or licensing needs as new customers, services, or locations are added.
- Support the full lifecycle of customer and vendor contracts, including drafting, amendments, approvals, execution, renewals, and record retention.
- Track contracts and related documentation from initial request through final execution, ensuring outstanding items are followed through to completion.
- Maintain accurate contract records, executed agreements, supporting documentation, and version control within the contract management system.
- Monitor important deadlines, expiration dates, renewals, approvals, and other contractual or permitting requirements.
- Serve as a key liaison between Legal, Sales, Operations, Finance, and Billing to gather information, communicate requirements, and keep processes moving.
- Proactively follow up with stakeholders and expedite outstanding items when necessary to meet deadlines.
- Communicate new or amended contract terms and financial information to Billing and other appropriate stakeholders.
- Research and assist with resolving contract-related billing questions and discrepancies.
- Track and communicate the impact of business or regulatory changes—including minimum wage increases, benefits requirements, and collective bargaining agreements—on existing customer contracts.
- Support contract audits, reporting requests, renewals, and compliance initiatives.
- Identify opportunities to improve contract tracking, documentation, and administrative processes.
- Maintain strict confidentiality when handling contracts, pricing, and other sensitive business information.
Qualifications
- 2+ years of experience in contract administration, contract management, permitting/licensing, project coordination, document control, or a similar process-driven role.
- Bachelor's degree in Business Administration or a related field preferred; equivalent relevant experience will be considered.
- Exceptional organizational skills and attention to detail.
- Demonstrated ability to manage multiple projects, deadlines, documents, and stakeholders simultaneously.
- Strong follow‑up skills with the ability to independently drive outstanding items through completion.
- Ability to review contracts, permits, and supporting documentation and determine required next steps.
- Strong analytical and problem‑solving skills.
- Excellent written and verbal communication skills.
- Ability to confidently collaborate with stakeholders across multiple departments and levels of the organization.
- Proficiency with Microsoft Office; experience with contract or document management systems preferred.
- Ability to work onsite Monday‑Friday.
- Ability to successfully complete required pre‑employment screening.
