Job summary

Guardian Operations LLC is seeking a Project Coordinator to facilitate project readiness, schedule management, and cross-functional communication for roofing construction projects based in Auburn, WA. The role acts as the liaison between customers, production staff, and field teams to ensure timely, high-quality delivery.

The position requires at least 2+ years in coordinating construction projects, proficiency with ServiceTitan, Google Workspace, and Microsoft Office, and strong multitasking

Qualifications

• 2+ years coordinating, scheduling, or supporting construction projects.
• Experience with project lifecycle from scheduling through completion in residential roofing or similar.
• Bilingual in English and Spanish a plus.

Responsibilities

• Prepare and distribute project timelines, customer updates, and internal kickoff documents.
• Serve as the internal hub between Production Coordinators, Superintendents, and the Production Manager to ensure all departments are aligned on job timelines and needs.
• Coordinate pre-install project tasks: customer communication, verify job readiness, permit processing, materials ordered, and schedule availability.
• Track and report on job progress through ServiceTitan or equivalent project management software.
• Assist in problem-solving project delays and material shortages with appropriate team members.
• Responsible for contract review and material purchasing for assigned projects, ensuring timely ordering, delivery scheduling, and accurate job costing.
• Verify jobs have no outstanding items prior to close out, all required inspections have been conducted, and ensure all project documentation is organized and submitted.
• Communicate directly with customers as needed regarding project schedules, updates, or issues.
• Support department safety by ensuring job files contain necessary safety notes and job safety checklists are completed prior to project start.
• Participate in production meetings, contributing updates and flagging risks.
• Conduct occasional job site walkthroughs to ensure quality and support production deadlines (climbing ladders and walking roofs up to 40’).
• Support Production Coordinating team with escalated customer questions or concerns.
• Provide additional phone support for the production department during high call volume periods.
