  • Keep accurate and complete project documentation such as contracts, design drawings, change orders, RFIs, and status reports.
  • Coordinate inspections, walkthroughs, and meetings with architects, engineers, contractors, and funders.
  • Support vendor and procurement activities, including drafting RFPs, reviewing proposals, and evaluating bids.
  • Track deadlines, deliverables, and project milestones using spreadsheets and project management software.
  • Ensure adherence to safety standards, permitting requirements, and organizational policies.
  • Monitor project budgets, spending, and invoices, raising concerns about cost overruns or delays when needed.
  • Assist with grant compliance by preparing required project documentation and reports for local, state, and federal agencies.
  • Maintain a centralized filing system for both active and closed projects.
  • Research technical information and provide data to aid decision-making.
  • Contribute to other facility and infrastructure projects or special assignments as needed.

  • 2+ years of hands‑on experience coordinating construction, renovation, or facilities improvement projects.
  • Ability to ascend and descend ladders, scaffolds, stairs, and work in confined spaces.
  • Must be able to lift and carry or otherwise move 25/50/80 pounds occasionally.
  • Constantly works in outdoor weather conditions.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with project management tools such as Smartsheet, MS Project, or equivalent.
  • Valid driver’s license and willingness to travel to project sites in New England as needed.
  • Must be able to successfully pass a CORI/Background records check.
  • Compliance with Veterans Inc. COVID‑19 Vaccination Policy. Religious and Medical Exemptions are considered.
