Job summary

Helix Electric is seeking a Project Administrator to support multiple million-dollar projects on-site. You will handle contracts, timekeeping in CMiC, and coordination with vendors and project managers.

The role requires strong organizational skills, attention to detail, and customer service excellence. A high school diploma and construction experience are preferred, with CMiC knowledge a plus.

Qualifications

• High School diploma required.
• 3+ years in a similar role within the construction industry preferred.
• Detail oriented, organized, and efficient with tasks.
• Provide outstanding internal customer service to employees, vendors, and customers.
• Proficient with Excel, Word and Outlook; CMiC knowledge helpful.

Responsibilities

• Assist in review and execution of customer contracts, subcontract agreements, vendor master agreements and service agreements.
• Interpret and document contractual liabilities and risk to ensure terms are clear and acceptable.
• Support project start up and close-out processes for each job.
• Enter timecards for project personnel into CMiC weekly.
• Review vendor changes to master PO and subcontract agreements and draft vendor responses.
• Review modified purchase orders and vendor instructions; verify policies and terms.
• Issue and maintain all purchase orders and ensure fully executed agreements.
• Process and verify subcontractor invoices and resolve billing discrepancies with Project Manager and vendors.
• Enforce and track all insurance requirements; coordinate with project team.
• Schedule returns and verify credits with project managers and vendors/subcontractors.
• Run daily, weekly and monthly project reports; manage project documentation and filing.
