Responsibilities

  • Provide administrative support to project managers, superintendents, and field teams throughout all phases of construction projects.
  • Prepare, process, organize, and track contracts, invoices, change orders, and purchase orders.
  • Maintain accurate and organized project documentation, including drawings, specifications, RFIs, submittals, and related correspondence.
  • Create and maintain organized project and job folders.
  • Record and track employee daily hours and project quantities.
  • Maintain work-in-progress (WIP) and job-costing reports.
  • Prepare weekly, monthly, and quarterly project reports for General Contractors and internal management.
  • Assist with budget tracking, invoice processing, and coordination of project billing with accounting.
  • Communicate professionally with clients, vendors, General Contractors, engineers, and other project stakeholders to obtain required documentation, updates, and approvals.
  • Monitor project documentation and administrative requirements to ensure compliance with company policies, contractual obligations, and applicable safety regulations.
  • Assist with project closeout activities, including reconciling final quantities with General Contractors and engineers.
  • Identify discrepancies or missing information and work with the appropriate team members to resolve issues promptly.
  • Support project teams with additional administrative and organizational tasks as needed.

This role is essential to maintaining accurate project records, supporting financial tracking, coordinating documentation, and ensuring project requirements are met.

Key Responsibilities

Salary Range

$55,000 - $80,000. Individual pay will be based on several factors including experience, knowledge, skills, and abilities of the applicant.
