Job summary

Habitat for Humanity of Greater Fort Wayne is seeking a Construction Procurement Coordinator to ensure timely, accurate material orders and fair pricing for multiple builds. You will source materials, obtain quotes, maintain records, and resolve delivery issues while collaborating with vendors, subcontractors, and Habitat staff.

The role requires an eye for detail, budgeting comfort, and strong communication with city offices and suppliers.

Qualifications

• Strong organization and attention to detail.
• Comfort working with numbers, invoices, and budgets.
• A habit of thinking ahead and catching problems early.
• Clear, friendly communication with vendors, coworkers, volunteers, and city offices.
• Experience in purchasing, procurement, accounts payable, or construction coordination is preferred.
• Knowledge of residential construction, or a willingness to learn it.
• Proficiency in Microsoft Office; experience with Procore, Buildertrend, Smartsheet, or similar is a plus.
• An associate degree in business, construction management, accounting, or a related field is a plus; equivalent experience is welcome.
• A valid driver's license and an acceptable driving record.

Responsibilities

• Source the right materials: Order materials and services for each build, making sure orders are accurate and arrive on time.
• Request and compare quotes from vendors and subcontractors, and recommend the best value.
• Keep clear records of quotes, purchases, and approvals.
• Solve shortages, delays, and delivery problems before they hold up a build.
• Track donated and purchased materials in our warehouse and on job sites.
• Maintain affordability: Review, reconcile, and code invoices before they go to Accounting for approval.
• Track purchases and project costs against budget, and raise concerns early.
• Work with Accounting to resolve invoice questions and support reconciliations and reporting.
• Coordinate project success: Build good working relationships with vendors and subcontractors, and keep their contracts, insurance, and licenses up to date.
• Handle permits, inspections, and utility applications with city and county offices.
• Track change orders and make sure approvals are in place.
• Keep Site Managers, Project Managers, and Accounting informed so projects keep moving.
• Keep project files organized across multiple active builds.
• Suggest simpler, better ways of working as you learn the process.
