Job summary

CEC Facilities is seeking a detail-oriented Job Cost Administrator to support the Job Cost Accountant and project teams in GMP contract billings. You will maintain project files, assist with billing, and ensure timely processing of cost data and subcontractor invoices.

The role requires 1–3 years of accounting support, familiarity with construction ERP systems, and strong Excel skills. Office-based position in Irving, TX with standard hours and potential overtime.

Qualifications

• Associate’s degree preferred (or equivalent experience).
• 1–3 years of administrative or accounting support experience, preferably in construction or job cost environment.
• Basic understanding of accounting principles and job cost structure.
• Familiarity with construction ERP systems (COINS, Sage 300 CRE, Viewpoint, Procore) is a plus.
• Proficiency in Microsoft Excel and general office software.

Responsibilities

• Assist in preparing monthly progress billings with backup documentation and SOV updates.
• Track and organize subcontractor invoices, lien waivers, insurance certificates, and compliance docs.
• Support change order processing with supporting documents.
• Maintain accurate electronic and physical project files per company standards.
• Monitor and track retainage; ensure proper documentation before payment.
• Coordinate with Accounts Payable for timely vendor/subcontractor payments.
• Assist with reconciliation of job cost reports and spot discrepancies.
• Provide administrative support for audit requests.
• Communicate with subcontractors and internal teams to follow up on missing docs.
• Ensure compliance with contract requirements and internal controls.
• Perform other duties to ensure efficient department operations.
