About the Role
We are seeking a highly organized and detail-oriented Production Administrative Assistant to support our Production Department. This position serves as the administrative backbone of production, ensuring projects move smoothly from pre-construction through completion by managing documentation, scheduling support, customer communication, work orders, and project tracking.
The ideal candidate is proactive, organized, comfortable communicating with customers and field personnel, and capable of managing multiple projects in a fast-paced construction environment.
Key Responsibilities
Production Administration
- Create and maintain work orders for all active projects.
- Review project documentation to ensure work orders contain accurate scope, labor requirements, specifications, and job details.
- Update work orders as project changes, change orders, and schedule adjustments occur.
- Distribute work orders to project managers, field crews, and other internal departments as required.
- Create and maintain project files from handoff through completion.
- Enter and update project information in company software and tracking systems.
- Maintain accurate records of permits, inspections, warranties, change orders, and project documentation.
- Prepare production reports, meeting materials, and project status updates.
Scheduling & Project Coordination
- Assist with maintaining production schedules and project calendars.
- Coordinate customer scheduling for pre-construction meetings, site visits, inspections, and final walkthroughs.
- Track project milestones and ensure required documentation is completed on time.
- Communicate scheduling updates and project information to internal teams and customers.
Customer Communication
- Serve as a support contact for customers regarding project schedules and administrative questions.
- Provide as needed project updates and assist with customer follow-up throughout the production process.
- Coordinate final paperwork, warranty information, and project closeout documentation.
Project & Field Support
- Conduct occasional site visits to active projects for documentation, quality-control support, project photos, measurements, material verification, or customer meetings.
- Collect and organize production reports, field photos, and project documentation.
- Assist Project Managers with tracking punch-list items and project closeout requirements.
- Maintain production dashboards, trackers, and reporting tools.
- Help ensure project files remain complete, accurate, and organized.
Qualifications
Required
- Strong organizational and time-management skills.
- Excellent communication and customer service abilities.
- Ability to manage multiple priorities in a fast-paced environment.
- Proficiency with Microsoft Office (Excel, Outlook, Word).
- Strong attention to detail and problem-solving skills.
- Valid driver's license and reliable transportation for occasional site visits.
Preferred
- Construction, remodeling, or production office experience.
- Experience with CRM, project management, or scheduling software.
- Permit processing or construction administration experience.
- Bilingual (English/Spanish) is a plus.
