Job summary

Benike Construction, a Rochester, MN-based family-owned general contractor, seeks a Billing Specialist to ensure accurate and timely project billing across all contract types.

Responsibilities include preparing owner billings (AIA/progress, T&M, GMP), reconciling contract values, retaining and coordinating lien waivers, and supporting month-end close with the Accounting Manager. Strong attention to detail and professional communication are essential.

Qualifications

• Degree in accounting or finance preferred.
• At least two years of practical experience in a similar construction-billing position preferred, including AIA-style progress billing, T&M, and/or GMP billing.
• Strong interpersonal communication skills, including the ability to effectively manage stressful situations.
• Notary Public commission preferred, or ability to obtain within defined period after hire.
• Ability to draft reports and business correspondence.
• Proficiency with Vista by Viewpoint and other billing platforms (Kahua, Textura, Coupa).

Responsibilities

• Prepare, post, and track all project billings in Vista; ensure alignment with contract terms and billing schedules.
• Process owner billings, including AIA/progress, T&M, and GMP billings with supporting backup.
• Distribute invoices through appropriate channels and confirm receipt.
• Reconcile contract values, change orders, and retainage against billed-to-date; investigate variances.
• Post billings in Vista with accurate coding and retainage calculations.
• Support month-end close and prepare related reports; coordinate lien waivers with owners/subcontractors.
• Prepare monthly builder's risk reports and assist with journal entries as needed.
• Track retainage, review unbilled work-in-progress, and assist with close-out billings.
• Maintain professional relations with customers; handle inquiries and difficult conversations.
