Job summary

Herbst Electric, a subsidiary of The State Group, seeks an Accounting Coordinator in Cleveland, Ohio. The role focuses on billing, invoicing, and financial controls within a construction environment. You will collaborate with project managers and finance to ensure timely, accurate billing and documentation.

The ideal candidate has 3+ years in accounting, construction experience, and a degree in accounting. Proficiency in Excel is essential, along with strong organizational and communication

Qualifications

• 3+ years of accounting or relevant experience.
• Experience in the construction industry is required.
• Bachelor's degree in accounting or a related field preferred.
• Proficiency in Microsoft Excel.
• Strong math skills. Excellent organizational, interpersonal, and communication skills.

Responsibilities

• Comply with safety requirements and actively promote a positive safety culture.
• Prepare, review, and process AIA billings and Time & Material (T&M) invoices, ensuring accuracy, contract compliance, and timely submission to clients.
• Monitor billing schedules, contract requirements, and supporting documentation to ensure all invoices are submitted accurately and on time.
• Reconcile expense reports, credit cards, gas cards, billings for customers and work performed, transactions, and/or monthly statements as well as investigate and resolve discrepancies promptly and accurately.
• Respond to customer billing inquiries and work collaboratively with project managers, operations, and finance teams to resolve invoice, payment, and documentation issues.
• Assist with month-end billing close processes, including invoice reviews, billing reports, revenue-related support, credits, rebills, account maintenance, and customer requests.
• Track outstanding invoices and assist with collections efforts by following up on billing questions, missing documentation, and payment status as needed.
• Maintain accurate records related to customer accounts, billing transactions, and project documentation.
• Train and provide guidance to other team members as needed.
• Complete various projects throughout the year.
• Additional duties as assigned.
