Job summary

DTLR, Inc. is seeking a Construction/Facilities Administrator to support Project Coordination and Office teams with administrative tasks, invoicing, scheduling, vendor management, and office organization.

The role requires strong organizational skills, attention to detail, and effective communication as you assist project managers, manage records, prepare reports, and coordinate travel and meetings for the team.

Qualifications

  • Previous administrative, office, accounting, or project support experience preferred.
  • Experience in a construction environment is a plus.
  • Strong organizational and multitasking skills with high attention to detail and accuracy.
  • Excellent communication and customer service skills.
  • Ability to prioritize tasks in a fast-paced environment.
  • Self-motivated with strong follow-through and accountability and a professional attitude.

Responsibilities

  • Assist Project Managers with daily administrative tasks.
  • Organize and maintain digital and physical files, records, and project documentation.
  • Answer and direct incoming phone calls and emails professionally.
  • Assist with preparing reports, spreadsheets, and internal documentation.
  • Support general office operations and workflow organizations.
  • Maintain accurate digital and physical records.
  • Assist with customer invoicing and billing preparation.
  • Enter and track purchase orders; assist with vendor setup and vendor information entry.
  • Organize receipts and expense documentation; support tracking of project-related expenses and job costs.
  • Assist with credit card reconciliation and invoice organization.
  • Schedule and coordinate travel arrangements for the team.
  • Coordinate meeting schedules and appointments; maintain project calendars and scheduling updates.

Job Overview

The Construction/Facilities Administrator supports Project Coordination and Office teams by handling administrative coordination, invoicing, scheduling, vendor management, and general office organization.

Job Responsibilities
  • Assist Project Managers with daily administrative tasks.
  • Organize and maintain digital and physical files, records, and project documentation.
  • Answer and direct incoming phone calls and emails professionally.
  • Assist with preparing reports, spreadsheets, and internal documentation.
  • Support general office operations and workflow organizations.
  • Maintain accurate digital and physical records.
  • Assist with customer invoicing and billing preparation.
  • Enter and track purchase orders; assist with vendor setup and vendor information entry.

Physical Requirements

Regularly required to sit; use hands to finger, handle, or feel; talk or hear; occasionally lift or move up to 25 pounds. Requires close, distance, and depth vision.

Benefits and Compensation

Administrator pay range: $60,000 - $70,000 per year. Eligible for the company 401K plan.
