Cornerstone Building Group is seeking a bilingual Construction Administrative Coordinator to support commercial and residential real estate construction projects. This office-based role coordinates administrative operations, document control, accounting support, and payroll while supporting multiple project managers.
The ideal candidate takes initiative, anticipates deadlines, and follows through on outstanding items with minimal supervision.
Key Responsibilities
- Maintain accurate records of contracts, subcontracts, permits, RFIs, submittals, change orders, purchase orders, certificates of insurance (COIs), lien releases, and closeout documents.
- Track deadlines and proactively follow up on missing documents, expired insurance certificates, and overdue responses.
- Coordinate with project managers, subcontractors, vendors, architects, engineers, accounting, and ownership.
- Support accounting activities, including invoice processing, accounts payable tracking, and reconciliation of supporting documentation.
- Coordinate payroll processing and maintain accurate records.
- Prepare and process payment applications and construction loan draw requests, verifying that required documentation is complete and accurate.
- Maintain project logs, financial records, and reports in Procore, QuickBooks, and Microsoft Excel.
Qualifications
- Bachelor’s degree in Business Administration, Engineering, or a related field.
- 3–5 years of relevant administrative experience with a general contractor, real estate developer, architecture/engineering firm, or construction-related company.
- Experience supporting commercial and residential real estate construction projects.
- Fluency in English and Spanish, with strong verbal and written communication skills in both languages.
- Hands-on experience with Procore and QuickBooks.
- Proficiency in Microsoft Office, advanced Excel skills, and experience working with Adobe Acrobat or similar PDF tools.
- Experience processing construction payment applications and loan draw requests.
- Knowledge of applicable construction codes, terminology, documentation, and administrative processes.
- Strong organizational skills, attention to detail, and the ability to prioritize across multiple projects.
- Current authorization to work in the United States and availability to work on-site in Miami.

Compensation
Annual salary of $80,000–$90,000 USD, depending on experience.
