Qualifications

• At least five years of bookkeeping or accounting experience.
• Strong QuickBooks and Microsoft Excel skills.
• Experience with accounts payable, accounts receivable, payroll, and reconciliations.
• High degree of accuracy, confidentiality, and attention to detail.
• Strong organizational and communication skills.
• Ability to work directly with senior management.

Responsibilities

• Accounts Payable and Vendor Management: enter invoices in QuickBooks and code by project; resolve discrepancies; maintain vendor accounts.
• Payment Processing: prepare weekly payment schedules and process payments by check, ACH, and wire.
• Accounts Receivable: prepare customer invoices; monitor aging; record payments.
• Payroll: collect and review weekly hours; process payroll and payroll checks; maintain payroll records.
• Banking and Reconciliations: reconcile bank and credit card accounts; upload check registers; report discrepancies.
• Cash Flow Management: maintain weekly and master cash flow reports; monitor balances and payment timing.
• Job Costing: record costs against projects; prepare weekly project cost and P&L reports.
• Insurance and Compliance: manage COI tracking; CCIP enrollment and reporting; assist insurance audits.
• Benefits and Safety Administration: maintain health insurance enrollment; payroll info for CCIP reporting; OSHA reporting.
• General Accounting Support: prepare documentation for senior management; assist year-end audit; manage recurring payments.
