Job summary

Steamboat Ski and Resort Corporation in Steamboat Springs, CO, seeks a Conference Services & Catering Coordinator. You will manage the full catering and conference services cycle, provide key administrative support, and help drive department sales through accurate proposals and client relations.

Qualifications

• Knowledge and use of Salesforce/Delphi helpful – Run Reports, Contact Management, Generate contracts.
• MS Office products – design, create Excel reports and Word memos.
• Must have good communication skills.
• Must work nights and weekends as needed.
• Must work outside in sometimes inclement weather.
• Preferable to provide ski/ride tours with groups.
• Valid driver’s license with CO insurance requirements.
• Must travel by vehicle in winter driving conditions in Colorado.
• English communication (verbal and written).

Responsibilities

• Work with Catering & Conference Services Managers and Director of Hotel Sales and Catering.
• Lead projects for social and group catering to grow sales and ancillary spend.
• Monitor conference services inbox and voicemail; assist with leads, proposals, and RFPs.
• Oversee daily/weekly reports in the Delphi Management system.
• Update and program menus in the Delphi Sales Management system.
• Provide onsite support for the banquet and F&B teams for events.
• Coordinate and prepare client billing; ensure timely delivery of statements.
• Maintain group folders and related documentation; assist with contract issuance.
• Manage vendor communications and load-in/load-out details for events.
• Prepare detailed conference & event needs, BEOs, estimates, and layouts.
• Assist in scheduling, preparation, and execution of site tours.
• Distribute mail and keep department communications up to date.
• Support managers on special projects; ensure policy compliance.
