Weiler Plastic Surgery Group is seeking a Patient Experience Coordinator to be the welcoming first contact for patients and visitors. You will manage front-desk duties, handle scheduling, and assist with payments and rewards programs while ensuring accurate EMR documentation.

The role requires strong communication, empathy, and professional demeanour in a fast-paced medspa/clinic setting, with a focus on concierge-level service and patient satisfaction.

Qualifications

• High school diploma or equivalent.
• 1-2+ years of experience in a medical office or hospitality/customer service role.
• 1-2 years of aesthetic and/or medspa experience.

Responsibilities

• Greet patients and visitors warmly, creating a friendly first impression.
• Efficiently check patients in and out and answer multi-line phone systems.
• Schedule, confirm, and reschedule appointments; provide clinic information.
• Deliver concierge-style service tailored to patient needs and concerns.
• Maintain EMR accuracy and file documentation; assist with clerical tasks.
• Assist with payments, rewards programs, and 3rd party plans; explain options.
• Troubleshoot billing questions with clarity and care; stay updated on policies.
