Job summary

Pooler Veterinary Hospital in Georgia is seeking a skilled veterinary receptionist to be the primary contact for clients and their pets, balancing administrative precision with genuine warmth in a clinical setting.

You will manage front desk operations, answer calls, process payments, and schedule follow-ups, while handling sensitive conversations such as end-of-life discussions with compassion.

Qualifications

• Minimum 1 year of experience as a veterinary receptionist.
• Experience with veterinary practice management software is preferred.
• Knowledge of veterinary terminology and vaccination protocols.
• Proficient in appointment scheduling, multi-line phone management, medical records management, and payment processing.
• Strong customer service and communication skills, with composure under pressure.

Responsibilities

• Greet and check in clients and patients, verify and update medical records, and confirm appointment details using practice management software.
• Answer and manage a multi-line telephone system, respond to inquiries regarding scheduling, prescriptions, vaccination records, and hospital information.
• Process payments, post charges, explain invoices, and schedule follow-up appointments.
• Communicate medical information and care instructions accurately and compassionately, including in emotionally sensitive situations.
• Maintain accurate EMR and ensure timely data entry in the PIMS system.
• Coordinate with veterinarians, technicians, and staff to relay client communications and maintain patient flow.
• Maintain cleanliness and organization of the reception area and waiting room.
