Job summary

Qualifications

• Minimum 1 year of front desk or customer service experience in a medical or veterinary context.
• Strong verbal and written communication; active listening and conflict resolution.
• Experience with appointment scheduling and multi-line phone systems; data entry and payment processing (POS).
• Excellent organizational skills and ability to multitask in a fast-paced environment.
• Proficient in Microsoft Office; able to learn new software and workflows.
• Genuine affinity for animals and comfort working in a clinical setting.
• Experience with PIMS software (Cornerstone, Avimark, ImproMed, eVetPractice, orezyVet) is a strong asset.

Responsibilities

• Greet and check in clients and patients at the front desk.
• Answer and manage a multi-line telephone system; direct calls and inquiries.
• Perform client check-out, including payment processing and scheduling future appointments.
• Provide composed and compassionate customer service during anxious or distressed times.
• Data entry and maintain organized records in the practice management system.
• Communicate effectively with clinical staff to relay messages and flag urgent situations.
• Maintain a clean, organized reception and waiting area.
