Job summary

Animal Care Services in Norco, CA seeks a Customer Service Representative to be the first and last warm contact for clients. You will manage client communication, appointment scheduling, patient records, payments, and front-desk coordination in partnership with veterinarians and staff.

The role requires prior veterinary-clinic experience, strong communication, and the ability to multitask in a dynamic setting. On-site position with comprehensive benefits is available.

Qualifications

• High school diploma or equivalent.
• Experience in a veterinary clinic, animal hospital, boarding facility, shelter, grooming salon, or similar animal-care setting.
• Familiarity with veterinary terminology, preventive care, vaccines, and routine procedures.
• Basic computer skills including email and data entry; ability to learn practice management software.
• Excellent verbal and written communication skills.
• Strong organizational skills and ability to multitask in a fast-paced setting.
• Calm, professional, and empathetic under stress.
• Reliable attendance and teamwork.
• Cash handling and payment processing experience.
• Bilingual communication is a plus; Fear Free and Customer Service certificates preferred.

Responsibilities

• Greet clients and patients warmly and provide compassionate service throughout visits.
• Answer calls, emails, and inquiries promptly and route appropriately.
• Schedule appointments, surgeries, drop-offs, rechecks, and follow-ups.
• Check clients/patients in/out and prepare forms/records.
• Maintain accurate client/patient records and vaccination status.
• Process invoices, collect payments, receipts, and reconciliations.
• Explain hospital policies, services, and basic pet care instructions.
• Identify urgent situations and notify medical staff as needed.
• Educate clients on estimates, discharge instructions, and follow-up care.
• Maintain clean, organized front office and reception areas.
• Handle client correspondence, reminders, and record requests.
• Collaborate with the hospital team to ensure a respectful, efficient environment.
