Responsibilities

  • Oversee communications department dispatch operations.
  • Ensure crews depart on time and assign runs.
  • Coordinate crew assignments and update schedules.
  • Maintain communication with dispatch to support transport services.
  • Train new and existing staff.
  • Monitor trips and QA using Samsara.
  • Address customer and employee concerns promptly.
  • Report transport issues to management.
  • Track equipment with UEM/Samsara and ensure devices charged.
  • Review daily crew schedules and vehicle assignments.
  • Act as CSR/Dispatcher when needed.
  • Ensure minimum field and office coverage.
  • Coordinate with hospital coordinators.
  • Handle other duties as assigned.
  • Maintain documentation of departures, assignments, and concerns.

Summary

This is a non-exempt hourly position. The Dispatch Supervisor oversees the Communications Department, ensures crews depart on time, coordinates crew assignments, assigns and updates runs, and maintains communication with dispatch to support the proper execution of transport services.

Duties and Responsibilities
  • Crew Management: Ensure the timely departure of all crew members, including the distribution of essential items such as phones, keys, tablets, and fuel cards.
  • Training: Provide necessary training to new and existing staff as required.
  • Dispatch Liaison: Collaborate with dispatch to maintain accurate timestamps and ensure crews are positioned correctly.
  • Quality Assurance: Oversee trip verification, monitor fuel levels and safety violations via Samsara, and conduct quality checks of all trips.
  • Customer Service: Address initial customer and employee concerns promptly and effectively.
  • Issue Resolution: Identify and report any transport issues to management, ensuring swift resolution.
  • Equipment Management: Utilize UEM/Samsara to track and manage all equipment, ensuring everything is charged and at the base.
  • Schedule: Review daily crew and dispatch schedules and adjust schedules as needed to meet minimum field and office coverage. Review vehicle assignments and trips and ensure all dispatch checklists are completed.
  • Communication: Regularly check emails and act as a CSR/Dispatcher when necessary.
  • Minimum Coverage: Ensure staffing levels support minimum field and office coverage requirements throughout each shift.
  • Planning: Adjust trip schedules as needed and coordinate with hospital coordinators to optimize day-to-day operations.
  • Additional Duties: Perform other related duties as assigned by the General Manager.
  • Documentation: Maintain accurate documentation related to crew departures, vehicle assignments, schedule changes, equipment distribution, and operational concerns escalating to management.

  • Proven experience in operations or dispatch within a similar industry.
  • Strong critical thinking skills.
  • Strong organizational and communication skills.
  • Ability to multitask and handle high-stress situations.
  • Proficient in using dispatch software and equipment tracking systems.
  • Schedule must be flexible; nights, weekends, and holidays will be required to ensure minimum coverage is met.
  • Schedule is from 11:00 am to 1900 Monday-Friday
