TEL Staffing & HR in Pensacola, FL is seeking an enthusiastic Collections Specialist to support a growing HVAC office. You will manage accounts receivable, contact customers with overdue balances, secure payments, and update the accounting team with progress.

Ideal candidates communicate clearly and professionally, balance firmness with courtesy, and stay organized across many accounts. This temp-to-hire role runs Monday–Friday, 8am–5pm, with benefits after the probation period.

Qualifications

• Must have strong communication skills and a professional demeanor.
• Detail-oriented with the ability to track multiple accounts and deadlines.
• Proficiency with Microsoft Office; Power BI experience is a Plus.
• Must pass pre-employment drug screen and background check.
• High school diploma or equivalent; associate's or bachelor's preferred but not required.

Responsibilities

• Monitor aging reports to identify past-due accounts and prioritize outreach.
• Contact customers daily via phone, email, and letters to request payment.
• Negotiate settlements and payment plans with customers.
• Investigate billing discrepancies and coordinate with internal teams to resolve them.
• Maintain accurate records of collection activities and status updates in the billing system.
• Prepare and maintain collection status reports.

Job description

We are looking for an enthusiastic and professional Collections Specialist to work for a growing HVAC office in Pensacola FL.

The Collections Specialist will be responsible for managing accounts receivable, contacting customers with overdue balances, securing payments, and providing updates to the accounting management team. The ideal candidate has excellent communication skills, a polite but firm approach, and a strong commitment to resolving outstanding debts while keeping positive customer relationships intact. RESPONSIBILITIES:

• Manage Accounts
  • Monitor aging reports to identify past-due accounts and prioritize outreach.
• Customer Outreach
  • Contact customers daily via phone, email, and letters to request payment on overdue balances.
• Negotiate Settlements
  • Work with customers to establish realistic repayment schedules or payment plans.
• Resolve Disputes
  • Investigate billing discrepancies or customer complaints and coordinate with internal teams to fix them.
• Maintain Records
  • Document all collection activities, payment agreements, and status updates accurately in our billing system.
• Reporting
  • Prepare and maintain collection status reports.

REQUIREMENTS:

• Must be proficient in Microsoft Office, experience with Power BI is a PLUS
• Must have excellent communication skills, as strong speaking and active listening skills are vital to this position.
• Must have a "Detail-Oriented" mindset to effectively track multiple accounts while balancing several competing deadlines.
• Must be able to efficiently shift focus between numerous tasks.
• Must pass a pre-employment drug screen AND background check.
• Must be at least 18 years old.
• Must have a High school diploma (or equivalent)

Associate's or Bachelors degree in Finance or Business is PREFERREDbut NOT required

PAY:

Position starts at $20+/hr. (Depending on CURRENT level of experience)

SCHEDULE:

Monday - Friday.......8am - 5pm
